How do I submit my instruments for processing?
Instruments are automatically submitted to the system and your program’s account once the student or field instructor clicks the submit button.
You can generate a report instantly after the instruments have been submitted.

How do I get a report?
Click on the “profile” button to sign into your account. You will find a list of completed instruments in your profile. Click on make a report and follow the instructions.
How long does it take to get my report?
Reports for online instruments are self-generated. Reports can be generated at any time.
How do Online Instruments & Tracking System work?
I have paper instruments, What should I do?
As of August 1, 2019, we will no longer be processing paper instruments. Please contact a SWEAP team member about exchanging your paper instruments for online instruments.

Take Care of Your Unpaid Balance
If you have an unpaid balance, please count up the instruments that still need to be paid for and submit an “order” for that amount. Once the unpaid balance of your account has been rectified, you will have access to all of your SWEAP data and reports.
For example, if my program has an account balance due of $50.00, I will “order” 50 of the unpaid balance items.

Can I trade old forms for new ones?

What is the exchange/refund policy?
There are no cash refunds for unused SWEAP instruments. Unused SWEAP instruments are not transferable between colleges and universities. If you have unused SWEAP instruments, you can exchange them, or get credit towards a new instrument purchase.
If you would like to exchange an older version of an instrument for a newer version of the instrument, we can conduct a simple exchange. There is no cost associated with this type of exchange. For instance, if you have 10 unused paper versions of the Foundation Curriculum Assessment Instrument (FCAI) purchased before 9/1/16, you can request a simple exchange for 10 paper versions of the new version. If you have 20 old online Exit Instrument, you can request a simple exchange for 10 updated online Exit Instruments. To exchange old BEAP printed versions, you will need to contact us. All exchange requests can be made by using the “contact us” section on the right. Once you have spoken to one of our team members, mail your unused instruments back to SWEAP for the credit with a letter stating you are returning the unused instruments with a list of what you would like to exchange. Please use the address listed on this webpage to mail your unused paper forms.
Exchanging paper for online (same instrument):
If you would like to exchange unused older paper instruments for online versions of the same instrument, you can make a request to exchange paper for online instrument. There is no cost associated with this type of exchange.
If you would like to exchange unused instruments for another type of instrument, you may need to pay an additional cost per instrument, depending on the current cost and format of the instruments you are exchanging.

What is the student ID used for on some of the instruments?
Some SWEAP paper instruments ask students to enter their ID number. This item is optional and at the discretion of the Social Work Program. SWEAP does not require this information. This ID number can be any number the program chooses. The ID number allows programs to match students across instruments from entrance to exit.

Can I change aggregated FCAI reports to individual reports?
No, Foundation Curriculum Assessment Instrument reports cannot be converted from aggregate to individual. Please order the specific reports that you need at the time you place your order.
Can you recommend a benchmark to use with SWEAP instruments?
SWEAP does not have recommendations for selecting benchmarks to use with instruments as this is a decision that must be made by each individual program. Identifying benchmarks is important, but what may be equally as important is providing a solid rational that justifies the amount that was selected by the program.
It needs to be noted that the reports generated by SWEAP do indicate the percentage of students who meet and exceed the competency amount in each one of the nine areas, and know that the threshold SWEAP uses is the number of students who identify correct responses at or above 50% of the items per competency area. SWEAP does not have an opinion on using this competency threshold as it is tailored specifically to the statistical difficulty of items on the instrument.
